AI Is Already in Your Hotel. The Question Is Whether It Has Changed Anything

Many hotels are already testing AI tools, but few can demonstrate measurable results. Introducing The Smart Hotel, the first white paper from HGX Research: free to download, available in English and Spanish, and designed for hotel leaders.

A guest asks to check out at three. For them, it is a simple question. For the hotel, it is not: the answer depends on that night’s occupancy, the day’s arrivals, how housekeeping is progressing, the rate they paid and the services they have already booked. I have been managing hotels for many years, and I know how this is almost always resolved: one call to reception, another to housekeeping, a look at the PMS and a decision made in a hurry. It works, but it depends on having the right person on the right shift. That late check-out sums up why artificial intelligence can be useful in a hotel. And also why, so often, it is not.

Using AI does not mean you have transformed

The figures show that adoption is already a reality. In Europe, 41% of surveyed hotels report using AI. Among hotel chains, the figure reaches 78%. But when asked about results, the picture changes: fewer than 10% of brands report having reduced their manual work by more than 30%. And the most frequently cited barriers are not technical. They are lack of knowledge, an unclear strategy and integration with hotel systems. In other words: access to technology is no longer the problem. Why a white paper, and why now

In recent months, I have seen too many presentations making the same promise: “connect our AI and your hotel will become smart”. And too many hotel directors with the same legitimate question: “where do I start, how much risk am I taking and how do I know whether it works?”. That is why we have launched HGX Research, a series of free publications for hotel directors and owners. The first edition is called The Smart Hotel and is 58 pages long, available in Spanish and English. It is not a catalogue of promises. It is a framework for making decisions, carefully separating what has been proven from what has not yet been proven.

The idea that runs through the entire document

It fits in one line: AI interprets and proposes; authorised systems confirm; a person is accountable. When this division of responsibilities is respected, AI expands what the hotel can understand, prepare and resolve. When it is ignored, it accelerates errors in a highly convincing voice: an invented price, an allergy “confirmed” by a chat, or a room declared ready because a prediction said so.
